Grants are a team sport

Even if you’re the only person writing the proposal, there’s a program director who owns the project design, a finance person who builds the budget, a leadership signer who needs to review before submission, and maybe an external evaluator or partner who’s contributing a section. That’s four or five people — and that’s a simple grant.

The usual workflow for this? Email a Word doc around, hope everyone edits the right version, chase people for comments, and paste feedback from six different threads into one document. It works, technically. But it’s exhausting and error-prone.

Grantable’s collaboration features are designed to keep everyone working in the same place, with clear roles so people know what they can touch, and threaded conversations attached to the work itself — not scattered across inboxes.

Workspaces

Workspaces are the top-level containers for your grant work. Each workspace has its own files, projects, chats, and team members. If you manage grants for multiple organizations or programs, use separate workspaces to keep things clean.

Roles

Every workspace member has a role that controls what they can do. This isn’t about hierarchy — it’s about making sure the finance reviewer can leave comments without accidentally editing narrative text, and the ED can see everything without being overwhelmed by editing tools.

How the pieces fit together

  • Inviting teammates — Add people by email. They get a link to join your workspace with one click. No account setup on your end. See Inviting Teammates.
  • Comments & @mentions — Leave threaded comments on files and tag specific people to notify them. Feedback stays attached to the document, not buried in an email thread. See Comments & Mentions.
  • Notifications — Get notified about comments, @mentions, deadline reminders, and scheduled task completions — without the noise. See Notifications.
  • File sharing — Share files internally with workspace links, externally with public links, or directly via email. See File Sharing.
  • Dashboard — See your team’s projects, deadlines, and assignments in one view. See Dashboard.

Pro Tip: Not sure how to structure your team? Start simple — add everyone as Editors, then dial back to Commenter or Viewer for people who only need to review. You can always change roles later in Settings.
