Operation Round Up - Organization Grants

Funder: Cotton Electric Charitable Foundation (CECF)

Program Description: Operation Round Up is a program designed to provide financial assistance to worthwhile organizations in the Cotton Electric Cooperative service territory. The program is funded by member contributions—members round up their monthly power bills to the nearest dollar, and the difference is pooled to support grants.

Geographic Scope: Caddo, Carter, Comanche, Cotton, Grady, Jefferson, Stephens, and Tillman counties in Oklahoma (primary service area). Organizations serving outside these counties may apply but must describe their service area.

Award Information:

  • Maximum Annual Grant: $10,000 for organizations

  • Board Review Schedule: Quarterly meetings in late March, late June, late September, and late December

  • Next Deadline: June 5, 2026 (second-quarter applications)

  • Board Meeting: Late June 2026
  • Eligible Applicants:

  • 501(c)(3) nonprofit organizations

  • School-related organizations (booster clubs, parent-teacher organizations, etc.)

  • Community service organizations

  • Public institutions
  • Special Requirements:

  • All applications for grants benefiting schools require the signed letter of support from the school superintendent on school letterhead. This applies to:

  • - School applications
    - Booster club applications
    - Parent-teacher organization (PTO) applications
    - Applications from other school-related groups
    - Applications from teachers and principals

    Required Documentation:

  • Copy of IRS Form 501(c)(3) letter (tax-exempt determination)

  • Copy of W-9 form from the IRS

  • Copy of most recent year financial statement

  • Supporting documents showing itemized costs (estimates, invoices—up to 10 documents)

  • Signed letter of support from school superintendent (if applicable)

  • Three references (may not be directors or employees of Cotton Electric Cooperative or CECF)

    Step-by-Step Application Process:

    1. Review Grant Guidelines before beginning application (available on website)

    2. Prepare Required Documentation:
    - IRS Form 501(c)(3) letter (if tax-exempt)
    - W-9 form from IRS
    - Most recent year financial statement
    - Supporting documents (estimates, invoices showing itemized costs—up to 10 documents)
    - Signed letter of support from school superintendent (if school-related application)
    - Three references with contact information

    3. Complete Application Form with the following information:
    - Organization name
    - Organization address (street, city, state, ZIP)
    - Organization phone number
    - Contact person name and title
    - Email and phone of contact person
    - Tax-exempt status (Yes/No) and attach 501(c)(3) letter if applicable
    - W-9 form attachment
    - Financial statement(s) attachment
    - Number of individuals, families, or groups served in service counties last year
    - Whether organization serves outside primary service counties (and where, if yes)
    - Total grant amount requested
    - Purpose of the grant request (describe in detail)
    - Supporting documents (up to 10 files with itemized costs)
    - List of other funding sources for this request
    - How the organization measures program effectiveness
    - Three references (name, company, email, phone, city, state)
    - Signature of authorized representative

    4. For School-Related Applications:
    - Attach signed letter of support from school superintendent on school letterhead
    - Required for: school applications, booster clubs, PTOs, school-related groups, teachers, and principals

    5. Submit Application
    - Online via webform: Complete in single session
