Overview

District Grants - Rotary International District 5000

Geographic Scope: Hawaii (District 5000), with support for local and international projects

Focus Areas:

  • Humanitarian projects, including service travel and disaster recovery efforts

  • Scholarships for any level, length of time, location, or area of study

  • Youth programs (Rotary Youth Exchange, RYLA, Rotaract, Interact)

  • Vocational training teams

  • Community and international service projects
  • Funding Details:

  • 2025-2026 Allocation: 47.5% of DDF (after 2.5% to Rotary) of total SHARE allocation

  • Club Allocation: Based on average of club's Rotary Foundation Annual Program Fund (APF) giving for 3 years prior

  • Match Requirement: 50% of allocation is "no-match"; 50% requires dollar-for-dollar club match

  • Maximum: Up to 50% of District Designated Funds can be used for district grants annually
  • International Projects: Highly recommended to have a Rotary Host Partner (Rotary Club or Rotaract Club) in the country where the project takes place

    Eligibility Requirements:
    Clubs must become qualified by January 31 prior to grant year (which starts July 1). Qualification documents required:

  • Memorandum of Understanding (MOU) and District 5000 Addendum

  • Financial Management Plan

  • Evidence of tax filing (IRS tax return copy or 990N filing confirmation and GET)

  • Evidence of dedicated grant bank account

  • District Grant Final Report from prior year project

  • Attendance at District Grants training (Fall Rotary Foundation Grants Seminar or viewing recording and taking quiz)
  • Project Completion: All projects MUST be completed by May 31 of the grant year or DDF must be returned to The Rotary Foundation. Final Report due within 2 months of project completion or by May 31.

    Bank Account Requirements:

  • Clubs must set up one dedicated District Grant Account for all District Grants

  • All DG funds must be deposited in and disbursed from the grant account only

  • If involved in Global Grant as Principal International Partner and Payee, must set up separate Global Grants account

  • Requires 2-signature disbursement authorizations

  • 5-year document retention period required

    How to Apply

    District Grant Application Process

    1. Become Qualified (by January 31)
    - Submit MOU and District 5000 Addendum (signed by President-Elect and President Nominee)
    - Submit Financial Management Plan (with bank account numbers)
    - Provide evidence of tax filing (IRS tax return or 990N confirmation and GET)
    - Submit evidence of dedicated grant bank account (cancelled check or recent statement)
    - Submit District Grant Final Report from prior year project
    - Attend District Grants training or complete online recording and quiz

    2. Prepare and Submit Application (by June 15)
    - Complete the District Grant Application Form
    - Ensure all matching funds are documented and ready
    - Email application to: grants@rotaryd5000.org

    3. Funding Approval
    - Clubs will be notified of approvals by District Foundation Committee
    - Provide bank statement showing matching funds on deposit in grant account before DDF funds are released

    4. Implement Project
    - Do not disburse any funds until application is approved and all Foundation funds (DDF) and Club contributions are deposited in District Grant account
    - Use Payment Voucher Form to document disbursements (two authorized signers required)
    - Maintain detailed records with all receipts
    - Project must be completed by May 31 of grant year

    5. Submit Final Report (by May 31 or within 2 months of project completion)
    - Use District 5000 District Grant FINAL REPORT form
    - If project delayed or modified, explain why and describe new project
    - Include Payment Voucher Form with two authorized signatures
    - Submit all receipts documenting disbursements
    - Email to: grants@rotaryd5000.org
