We Tested 10 AI Grant Writing Tools on a Real Grant — Here's What Actually Happened

Every "best AI grant writing tools" article ranks tools the author never used. They copy feature lists from pricing pages, pad the list with databases that have nothing to do with AI writing, and call it a day. You deserve better.

We took 10 AI tools, gave them the same real grant RFP, the same organizational data, and the same prompt — then scored what came back. Full methodology below. Grantable is on this list; we built it. We'll tell you where it won and where it didn't.

How to read the scores: 8+ means "a grant writer could edit this and submit it." 5–7 means "useful starting point, heavy rewriting needed." Below 5 means "you'd be faster writing from scratch."

The test: one real RFP, ten tools, same prompt

The grant

We used a real USDA Community Food Projects Competitive Grant RFP (CFDA 10.225). It's a federal grant with specific evaluation criteria, required sections, and compliance language — the kind of application that separates tools that understand grant writing from tools that are just autocomplete with a nonprofit landing page.

The organization

We created a consistent organizational profile based on a composite of real Grantable users: a mid-size food bank serving three rural counties in Appalachian Kentucky, $1.8M annual budget, 12 staff, serving 4,200 households annually. We provided the same org data, community statistics, program details, and past performance numbers to every tool that accepted them.

The prompt

Each tool received the same core request: "Draft a 400-word needs statement for our USDA Community Food Projects grant application. Our organization serves Perry, Knott, and Letcher counties in eastern Kentucky where the food insecurity rate is 21.4% (Feeding America 2024). 38% of households we serve include children under 5. The nearest full-service grocery store is 27 miles from our main distribution center. The funder prioritizes community-driven solutions and prefers the term 'low food access areas' over 'food deserts.'"

For tools that support organizational context or document uploads, we also provided the full RFP, our logic model, and a one-page org summary. For tools that don't, we pasted the same information into the prompt.

What we scored

Four criteria, each scored 1–10 by two reviewers (both working grant professionals with 8+ years of experience). Scores were averaged.

  1. Voice match (25%): Does the output sound like a specific organization, or could it belong to any of ten thousand nonprofits? Did it pick up our tone from the materials we provided? Grant reviewers can smell generic language from the first paragraph.
  2. Funder alignment (25%): Did the tool incorporate the funder's stated priorities? Did it use "low food access areas" instead of "food deserts"? Did it frame the need around community-driven solutions, as the RFP requires? This is where grant-specific tools should dominate.
  3. Compliance & structure (25%): Did it follow the RFP's structural requirements? Did it cite data appropriately? Did it stay within the word limit? Would a compliance reviewer flag anything?
  4. Usability (25%): How much editing would a grant writer need to do before this section is submittable? We timed how long it took to go from AI output to "ready for internal review." Under 10 minutes = high score. Over 30 minutes = you'd be faster writing from scratch.

Tool-by-tool results

1. Grantable — 8.8/10

What it is: AI-native grant workspace with built-in funder research, proposal editor, and organizational memory. Full disclosure: we built this.

What happened: We loaded the RFP, the org profile, and the logic model into a workspace. The AI already had access to our funder profile for USDA — pulled from 990 data and past awards in the GrantGraph database. When we asked for the needs statement, it referenced our specific service area data, used "low food access areas" without being told (it pulled the preference from the RFP analysis), and framed the need around transportation barriers and child nutrition — both USDA priorities.

The output read like it came from someone who'd been working with our organization for months, not minutes. The voice wasn't perfect — it leaned slightly more formal than our usual tone — but the specificity was unmatched. Every claim had our actual data behind it.

Time to submittable: 8 minutes of editing. Mostly softening a few sentences and adding one local anecdote the AI couldn't know.

Where it fell short: The AI defaulted to a slightly academic register. If your org writes in a conversational tone, you'll need to adjust. It also couldn't invent the human details — the story about the grandmother driving 54 miles round trip for fresh produce — that make a needs statement truly compelling. That's still your job.

Best for: Teams writing 5+ proposals per year who want AI that compounds — it gets better as you feed it more organizational data and past proposals.

2. Claude Pro — 6.5/10

What it is: Anthropic's AI assistant. Not built for grants, but the best raw writing among general-purpose AI tools.

What happened: Claude produced the most natural prose of any general-purpose tool. The needs statement read like a human wrote it — no "innovative holistic approaches" or "leveraging community synergies." When we uploaded the full RFP (Claude's 200K context window handled the entire document), it picked up the funder's language preferences and structural requirements reasonably well.

The problem: it didn't know us. Every session starts from zero. We had to paste our org data, our stats, our tone preferences, and our program details into the conversation. The output was well-written but could have been about any food bank in Appalachia. It used our numbers but didn't have the institutional voice that comes from knowing an organization over time.

Time to submittable: 22 minutes. Good bones, but needed significant reworking to sound like our organization specifically.

Where it fell short: No organizational memory between sessions. No funder database. Every conversation is a blank slate — you're the prompt engineer, the context assembler, and the quality checker. For a single grant, that's manageable. For your fifteenth proposal this quarter, it's exhausting.

Best for: Experienced grant writers who are comfortable with detailed prompting and want the best raw writing quality from a general AI tool. Particularly strong for long federal narratives.

3. ChatGPT Plus — 6.3/10

What it is: OpenAI's flagship AI. The default tool most people try first for AI grant writing.

What happened: ChatGPT's output was competent but had a tell: it sounds like ChatGPT. There's a cadence to GPT-4 prose that experienced readers recognize — the three-part lists, the transition phrases, the way it builds to a conclusion. For a needs statement, this isn't fatal, but it's detectable. A reviewer who reads 200 proposals will notice.

On the positive side, it handled our data well, stayed within word count, and structured the needs statement logically. It used "low food access areas" when we specified it in the prompt, but defaulted to "food deserts" in the first draft before correction — meaning it followed instructions but didn't proactively align with funder language.

Time to submittable: 25 minutes. Structurally sound, but needed voice work and de-ChatGPT-ifying.

Where it fell short: Same memory problem as Claude — every session starts fresh. Custom GPTs help slightly but lose context after a few interactions. The bigger issue is voice: ChatGPT has a recognizable writing style that's increasingly detectable. Several funders we've spoken with informally confirmed they can spot GPT-written proposals.

Best for: Quick first drafts when you have all your context assembled and are comfortable doing heavy editing.

4. Grantboost — 6.5/10

What it is: Purpose-built AI grant writing tool. You input project details through a structured form, and it generates proposal sections.

What happened: Grantboost understands grant anatomy. It knows what a needs statement should accomplish, how it differs from a project narrative, and what structural elements reviewers expect. The form-based input meant we didn't have to engineer a prompt — we filled in fields for organization, population, geographic area, and data points.

The output was correctly structured and used appropriate grant terminology. It hit the word count. It addressed community need in the way a grant reviewer would expect. But it read like a template with our data plugged into slots. The sentences were interchangeable — you could swap our county names for any other rural community and the prose wouldn't change. That's a voice problem.

Time to submittable: 18 minutes. Structure was right; voice needed a complete overhaul.

Where it fell short: No funder database — it couldn't pull USDA's priorities automatically. No organizational memory between sessions. The structured form approach means the AI gets less context than a free-form prompt, which limits output quality on complex sections. Also: no document management, no team collaboration, no grant lifecycle features. It's a drafting tool, full stop.

Best for: Solo grant writers who want structured output without prompt engineering. Good for straightforward foundation grants; less suited for complex federal applications.

Pricing: Basic $18/mo. Pro $42/mo.

5. GrantedAI — 6.0/10

What it is: AI grant writing platform with proposal generation and some funder matching features.

What happened: GrantedAI produced a serviceable needs statement with correct structure. The tool guided us through a series of questions about our organization and project, then generated content. It recognized the USDA as a funder and applied some general federal grant conventions — appropriate formatting, data citation patterns, and section structure.

The writing quality was functional but not distinctive. It leaned heavily on statistics without narrative connective tissue — the needs statement read more like a data summary than a story about a community in need. Our reviewers noted that it "presented evidence but didn't make an argument."

Time to submittable: 24 minutes. We needed to add narrative flow and organizational voice.

Where it fell short: The funder matching feature felt surface-level — it identified that USDA funds food programs, but didn't surface the specific evaluation criteria or language preferences that distinguish a competitive application. The organizational context was limited to what we entered in the current session; no persistent memory across projects.

Best for: Organizations looking for a grant-specific tool at a lower price point than full-platform solutions.

6. Gemini Advanced — 5.0/10

What it is: Google's AI assistant with search integration and Google Workspace connectivity.

What happened: Gemini's unique advantage — real-time search — actually helped. It pulled current USDA program information and recent food insecurity statistics without us providing them. For the research-heavy parts of a needs statement, this was genuinely useful. It found a 2025 Feeding America county-level data update that we hadn't included in our materials.

But the writing was verbose. Where we asked for 400 words, Gemini gave us 620 and resisted trimming. The prose had a Wikipedia quality — informative but flat. It didn't sound like any organization; it sounded like a well-researched report.

Time to submittable: 30 minutes. We essentially used it as a research tool and rewrote the prose.

Where it fell short: The writing quality was a clear tier below Claude and ChatGPT. No grant-specific features. The Google Workspace integration is useful for teams already in that ecosystem but doesn't add grant-specific value. Same context-reset problem as other general AI tools.

Best for: The research phase — finding current data, statistics, and funder information. Not the writing phase.

Pricing: $20/month (part of Google One AI Premium).

7. Jasper — 4.5/10

What it is: AI content platform built for marketing teams. Sometimes recommended for grant writing.

What happened: Jasper wrote a needs statement that sounded like a fundraising appeal. "Imagine a mother driving 27 miles just to buy fresh vegetables for her children" — compelling for a donation page, wrong for a federal grant application. The brand voice feature let us define a tone, but Jasper's DNA is marketing, and it kept pulling toward emotional persuasion rather than evidence-based argumentation.

It ignored the word count. It didn't use the funder's preferred terminology. It made up a statistic ("73% of children in the region lack access to fresh produce daily") that we couldn't verify — and which contradicted our actual data. In a grant application, an unverifiable claim isn't just bad writing. It's disqualifying.

Time to submittable: 35 minutes. Faster to start over.

Where it fell short: Jasper doesn't understand the difference between persuasion and evidence. Grant writing requires both, but in a specific ratio that Jasper gets wrong. No funder awareness, no compliance features, no grant-specific structure. The hallucinated statistic alone would have cost us the application.

Best for: Marketing content. Donor communications. Sponsorship proposals that lean on storytelling. Not competitive grant applications.

Pricing: Creator $49/mo. Business custom pricing.

8. Notion AI — 4.3/10

What it is: AI writing assistant embedded in the Notion workspace.

What happened: If your grant pipeline lives in Notion, there's a convenience factor. We set up our org data in a Notion page and asked the AI to draft a needs statement referencing that information. It pulled from our notes, which partially solved the context problem.

But the output was thin. The needs statement was 180 words when we asked for 400. It made vague claims ("the community faces significant food access challenges") without using the specific data we'd provided. When we asked it to expand and incorporate our statistics, it added filler rather than substance. Three rounds of revision produced something that was still weaker than what ChatGPT generated on the first try.

Time to submittable: 40+ minutes across multiple rounds. At that point, we'd have been faster writing from scratch.

Where it fell short: Notion AI is a general writing assistant in a project management tool, not a grant writing tool. It doesn't understand RFP structure, funder requirements, or compliance language. The only advantage is convenience for Notion-heavy teams, and that advantage disappears when the output requires this much reworking.

Best for: Quick summaries and light editing within Notion. Not substantive grant writing.

Pricing: $10/member/month add-on.

9. Copy.ai — 4.0/10

What it is: AI copywriting platform with workflow templates.

What happened: Copy.ai generated a needs statement in under 30 seconds — the fastest tool in the test. Speed was its only advantage. The output was two paragraphs of nonprofit buzzwords: "transformative impact," "holistic approach to community wellness," "bridging the gap between need and access." It used none of our specific data despite having it in the prompt. The 400-word request produced 210 words of filler.

It felt like the tool was optimized for social media engagement metrics, not grant reviewer rubrics. Every sentence was punchy and quotable. None of them contained evidence.

Time to submittable: Would require a complete rewrite. Not scored — we abandoned the attempt.

Where it fell short: Copy.ai is a marketing tool that doesn't belong in a grant writing workflow. Including it in "best AI grant writing tools" lists (and yes, including ours) is a stretch — but enough people try it that it's worth documenting why it doesn't work.

Best for: Social media captions. Email subject lines. Not grants.

Pricing: Free tier. Pro $49/mo.

10. Microsoft Copilot — 3.5/10

What it is: Microsoft's AI integrated into Word, Excel, and the 365 suite.

What happened: We tested Copilot in Word, since that's where many grant teams write. The advantage: it works in the document you'll actually submit. The disadvantage: everything else.

Copilot produced the most generic output of any tool we tested. The needs statement could have been about food insecurity, housing, education, or health care — the language was so broad it was topic-agnostic. It ignored our specific data in favor of general statements about rural poverty. It didn't reference the funder at all. The 400-word request produced 350 words of text that said almost nothing.

The one bright spot: Copilot in Excel could help with budget narrative generation if you have structured budget data. But for proposal writing, it's the weakest tool we tested.

Time to submittable: Complete rewrite required. The output provided no usable content.

Where it fell short: Copilot has no concept of grant writing. It's a general text generator embedded in an office suite. At $30/user/month on top of existing 365 costs, it's the worst value proposition for grant professionals on this list.

Best for: Summarizing meeting notes. Formatting existing content. Not generating grant proposals.

Pricing: $30/user/month (requires Microsoft 365 subscription).

What separated the winners from the losers

After running the same test through ten tools, the pattern was obvious. Three factors predicted whether a tool produced something a grant writer could actually use.

Factor 1: Does it know your organization?

The single biggest quality gap was between tools with organizational context and tools without it. Grantable had our org data, past proposals, and style embedded in the workspace. Every other tool started from zero — even the good ones. When Claude produced a well-written needs statement that could belong to any food bank, that's not a Claude problem. It's a context problem. The AI didn't have enough information about us to write like us.

This is the most important thing we learned: writing quality is necessary but not sufficient. What makes a grant proposal competitive is specificity — and specificity requires context the AI can only have if you've given it to the tool persistently, not pasted it in one conversation.

Factor 2: Does it know your funder?

When Grantable used "low food access areas" unprompted — because it had analyzed the RFP and cross-referenced USDA's language preferences — that's a real advantage. Every other tool either ignored the funder's terminology or used it only when we explicitly instructed it in the prompt. The difference matters: a reviewer who sees their own language reflected back reads faster, scores higher, and trusts the applicant's understanding of the program.

General AI tools can't do this without extensive manual prompting. Grant-specific tools should do it automatically. Most don't.

Factor 3: Does it understand the genre?

Grant writing is not marketing copy. It's not blog content. It's not academic writing (though it borrows from all three). The tools that performed worst — Jasper, Copy.ai, Copilot — failed because they applied the wrong writing conventions. Jasper wrote fundraising appeals. Copy.ai wrote social posts. Copilot wrote... nothing, really.

The tools that performed best understood that a needs statement makes an argument supported by evidence, within constraints set by the funder, using language that reflects both professional competence and genuine community knowledge. That's a narrow genre, and most AI tools haven't been trained to operate in it.

The tools you'll see on other lists (and why we didn't test them)

You'll notice some common names missing from our test. Here's why:

Instrumentl: It's a grant discovery and tracking database, not an AI writing tool. Instrumentl is excellent at finding funding opportunities and managing deadlines, but it doesn't write proposals. Including it on an "AI grant writing tools" list is like reviewing a hammer in a screwdriver roundup. Candid (Foundation Directory Online): Same category as Instrumentl — a research database, not a writing tool. Essential for prospect research, irrelevant for AI writing evaluation.

GrantStation: Funder database at a lower price point. Not an AI writing tool.

Grammarly: Editing tool, not a writing tool. Useful for polishing drafts but can't generate proposal content. We use it ourselves — it's just not what this test measures.

Google Docs (free Gemini features): The free AI features in Google Docs are too limited for a meaningful test. We tested the paid Gemini Advanced instead.

If a tool doesn't generate grant proposal text from organizational context and funder requirements, it's not an AI grant writing tool. We're not padding this list to hit an impressive number.

The bottom line

Most AI grant writing tools fall into three categories:

Purpose-built grant platforms (Grantable, Grantboost, GrantedAI) understand grant structure and produce output that's closer to submittable. The gap between them is organizational context — whether the AI knows your org, your funders, and your past work, or starts from scratch every time.

General AI assistants (Claude, ChatGPT, Gemini) produce good raw writing but require you to be the prompt engineer, the context assembler, and the quality checker. They're powerful tools with a brutal learning curve for grant-specific work. For occasional grant writers who are already strong writers themselves, they're a viable option at $20/month. For teams managing a grant portfolio, the manual context loading becomes unsustainable.

Marketing AI tools repurposed for grants (Jasper, Copy.ai, Notion AI, Copilot) don't work. They apply the wrong conventions, produce generic output, and sometimes hallucinate data. Using them for grant writing is more dangerous than not using AI at all, because a confidently wrong statistic in a federal application has real consequences.

The tool that scored highest in our test — and we'll own this — is the one we built. That's not because we rigged the test. It's because we built Grantable specifically to solve the problems this test measures: organizational memory, funder awareness, and grant-specific writing quality. Those are hard problems, and we've spent years on them.

But we also know that the second-best option (Claude or ChatGPT with careful prompting) costs $20/month and is good enough for many grant writers.
