AI makes specific, predictable mistakes in grant writing. Once you know the patterns, you can spot them in seconds. This lesson catalogs the most common ones — not to discourage AI use, but to make your review process efficient and targeted.

Mistake 1: The Confidence Problem

AI writes with uniform confidence regardless of how certain it is about the content. A statement grounded in your uploaded data and a statement it generated from general patterns read with the same authority. This makes it hard to distinguish verified content from generated content by reading tone alone.

How to spot it: Look for specific claims that don’t trace to your source material. If a sentence sounds authoritative but you can’t point to where that information came from, it needs verification.

Mistake 2: Generic Conclusions

AI tends to end sections with broad, generic conclusions: “This program will make a significant impact on the community.” “The proposed evaluation will provide valuable data for future programming.” These add words without adding meaning.

The fix: Replace generic conclusions with specific ones. “We expect 85% of participants to complete the program based on our three-year retention average of 87%.” Specific, grounded, credible.

Mistake 3: Overpromising on Outcomes

AI tends toward optimistic outcome statements. “The program will eliminate youth unemployment in the service area” when your data supports “reduce youth unemployment by 10-15%.” Overpromising creates credibility problems if you win — and experienced reviewers see through it in the proposal.

Mistake 4: Repetitive Phrasing

AI has favorite constructions and tends to reuse them. “Furthermore,” “moreover,” “it is important to note that” — once you notice the pattern, you’ll see the same phrases cycling through every section. In a full proposal, this creates a robotic rhythm that reviewers feel even if they can’t name it.

The fix: Vary your sentence structure. Delete transition words that don’t add meaning. Read sections aloud — if the rhythm feels monotonous, vary it.

Mistake 5: Inconsistent Terminology

Even with style guide enforcement, AI sometimes uses different terms for the same concept across sections — “participants” in one section, “program youth” in another, “enrolled students” in a third. This is especially common when sections were drafted in separate conversations or with different prompts.

The fix: Do a terminology pass. Search your draft for key terms and verify they’re consistent. This takes five minutes and catches one of the most visible quality issues.

Mistake 6: Missing the “So What”

AI presents information without explaining why it matters. “34% of families in the service area live below the poverty line.” So what? What does that mean for your program? Why should the funder care about that specific number?

Every piece of data in a proposal should have a “so what” — a connection to the problem you’re solving, the population you’re serving, or the approach you’re proposing. AI presents facts. You connect them to meaning.

Mistake 7: Logical Disconnects Between Sections

The needs statement describes problem A. The methods section proposes a solution for problem B. AI wrote each section well individually but didn’t maintain the thread between them. This is most common when sections were drafted at different times or with different levels of context.

The fix: After all sections are drafted, do a coherence pass. Read the needs → methods → evaluation → budget sequence as a single narrative. Does each section build logically on the previous one?
