As you get comfortable with AI-powered prospecting, you’ll naturally let it handle more. That’s the point — AI does the data-intensive work so you can focus on judgment. But delegation without discernment is how mistakes compound. The skill is knowing where on the trust spectrum each type of AI output falls.

The Trust Spectrum

Not all AI research output carries the same reliability. Think of it as a spectrum:

High trust: structured data from verified sources

990 data, publicly available filings, information pulled from official records. When AI is drawing from structured, verified data, the risk of error is low. Trust these with light verification.

Medium trust: pattern analysis and scoring

Fit assessments, match scores, trend analysis. AI is good at finding patterns, but the conclusions depend on the quality of input data and the weight given to each factor. Verify the reasoning, not just the score.

Lower trust: synthesized narratives and predictions

When AI writes a narrative about a funder's priorities or predicts where they're headed next, it's synthesizing from available data. The narrative is useful as a hypothesis but needs validation against current sources.

Lowest trust: specific claims without cited sources

If AI states a specific dollar amount, a specific deadline, or a specific program name without showing where that information came from, verify before acting. These are the claims most likely to be outdated or hallucinated.

The Delegation Framework

For each type of research task, know what you’re delegating and what verification it needs:

Delegate fully: Aggregating data across funders, sorting and ranking prospects, maintaining pipeline status, tracking deadlines from confirmed sources.

Delegate with spot-checks: Fit assessments (check the reasoning), funder profiles (verify against current website), geographic analysis (confirm boundaries).

Delegate the draft, verify the conclusion: Opportunity briefs (you add the recommendation), trend analysis (you confirm the direction), competitive assessments (you add the context AI can’t see).

Don’t delegate: Relationship decisions, strategic bets, go/no-go calls, and anything that commits organizational resources. These are judgment calls that require human accountability.

Pro tip

A useful rule: the further the AI output is from raw data and the closer it is to a decision, the more your judgment needs to be in the loop. Data aggregation? Trust it. Strategic recommendation? Write it yourself.

The Verification Habit

Verification doesn’t mean re-doing the work. It means checking the output at key points:

Check one source. If AI says a funder gave $50K to a youth program in 2024, pull one 990 and verify. If that checks out, the rest of the 990-derived data is likely reliable too.

Read the explanation. When AI provides a fit score with an explanation, read the explanation. Does the reasoning make sense? Does it match what you know? If the explanation is sound, the score is probably sound.

Cross-reference critical facts. For any fact you’re going to act on — a deadline, an eligibility requirement, a contact name — verify it against a current source before you commit.

Effective delegation means trusting the process, not auditing every detail. Verify enough to calibrate your trust, then let AI handle the volume. The goal is to spend 10% of the time verifying so you can save 90% of the time researching.

When Trust Breaks Down

If you find an error — a hallucinated funder name, an incorrect grant amount, a mischaracterized program — don’t panic. Assess whether it’s a pattern or an outlier.

Outlier errors (one wrong data point in an otherwise reliable set) — correct it and move on. AI isn’t perfect. Neither are human researchers.

Pattern errors (consistently wrong on a type of data or a type of funder) — adjust your verification accordingly. If AI consistently mischaracterizes government funders, verify government funder data more carefully.

Systematic errors (the data source is outdated or incomplete) — this is a tool limitation, not an AI judgment failure. Supplement with other sources.
