Component 3 — Build a Review System That Scales
AI is going to produce more and more content for your organization. The question isn’t whether a human reviews every word — it’s how to build review processes that are efficient, proportional to the stakes, and that improve over time.
Review Is a Spectrum
Not all AI output carries the same risk. A routine internal summary and a federal grant proposal with your executive director’s name on it are fundamentally different. Your review process should reflect that.
Think of it as tiers:
Low stakes — light review or automated checks. Routine internal communications, meeting summaries, draft outlines, brainstorming output. At this level, a quick scan may be all that’s needed. Some organizations are already comfortable letting AI handle these with minimal human involvement — similar to how AI-powered customer support resolves straightforward issues without a human in the loop.
Medium stakes — structured review. Proposal drafts, funder correspondence, reports. Someone with subject knowledge reads the output, checks key facts, verifies that the voice is right, and confirms alignment with funder requirements. This is where most grant work lives.
High stakes — close human sign-off. Federal applications, financial commitments, legal documents, anything published under a specific leader’s name. At this level, you want careful human review — and the AI can actually help here too, as a second set of eyes that checks compliance, consistency, and factual claims before a human makes the final call.
The Ladder Will Move
This tiered approach isn’t static. As AI improves — and it will — tasks that require close review today will shift to lighter review tomorrow. Customer support is a good example: what started as “AI drafts, human approves” has evolved in many organizations to AI handling most interactions independently, with humans stepping in for escalations.
Grant work will follow a similar trajectory. AI will get better at producing accurate, well-voiced, compliant content. As your organization builds confidence in its AI workflows, you’ll naturally move tasks up from heavy review to lighter review. That’s not reckless — it’s how every technology adoption works.
The point is to build a system that allows you to move up the ladder deliberately, based on evidence and experience, rather than having a rigid rule that becomes outdated.
Use AI to Verify AI
Here’s the insight that changes how you think about review: AI can help you review AI output.
AI can help you review AI output. Layered review — AI does systematic checking, humans focus on judgment — gives better coverage in less time.
As content volume increases, relying solely on human reviewers creates a bottleneck. But AI is excellent at systematic verification tasks:
- Compliance checking. Have AI compare a draft against the RFP requirements and flag anything missing or misaligned
- Fact verification. Ask AI to identify every factual claim in a draft and flag the ones that need source verification
- Consistency review. Have AI check whether the needs statement, methods, evaluation plan, and budget all tell the same story
- Voice and tone. Ask AI to compare a draft against your organization’s style guide and flag language that doesn’t match
This creates a layered review: AI does the systematic checking, then a human reviewer focuses on judgment, strategy, and the things that require real understanding. You get better coverage in less time.
What Always Needs Human Eyes
Some things should have close human sign-off regardless of how good AI gets:
- Financial commitments. Budgets, cost proposals, matching fund pledges — anywhere money is being committed
- Legal language. Grant agreements, compliance certifications, terms and conditions
- Leadership communications. Anything going out under a specific person’s name or representing the organization’s official position
- Community-sensitive content. Descriptions of the communities you serve, beneficiary stories, culturally specific language
In these areas, AI can still help — in fact, having AI assist with review might make the process safer by catching things a tired human reviewer would miss. But the final sign-off is human.
Building Your Review Process
Start simple and evolve:
- Categorize your AI outputs by stakes. What’s low, medium, high for your organization?
- Match review depth to stakes. Light review for low, structured review for medium, close sign-off for high
- Introduce AI-assisted review for the systematic checks (compliance, consistency, facts)
- Track what gets caught. When review catches an error, note what kind it was. Over time, this tells you where to focus
- Revisit your tiers periodically. As AI improves and your team builds confidence, adjust what requires which level of review
Philip’s Take: “AI drafts, humans decide” was the right starting principle, but it’s not where we’ll end up. AI is already handling low-risk outputs with minimal human involvement in plenty of industries. The real skill is knowing where on the spectrum you are — and building review systems that are efficient enough to handle the increasing volume of AI-generated content. Use AI to verify AI. Build escalation tiers. Put your human attention where it matters most.
